Team Suzy's Part Time Community Outreach Virtual Assistant Job Description
Position Overview
We're growing! I’m looking for a self-driven virtual assistant to support the marketing and external facing facets of my growing Book Coaching and Writer Education business. This position will plan and execute new content and writer education programs in collaboration with me, manage the logistics of my weekly Inspired Writing newsletter, and research and manage external opportunities.
I’m looking for someone with an excellent eye for detail (can spot a typo a mile away) and who knows how to communicate both verbally (phone, zoom) and written (email, documents, posts, text etc.) in a professional, organized, and efficient way. Discretion and confidentiality are essential for this position, along with a supportive, positive attitude toward everyone they encounter on behalf of my business.
This role is virtual and can be located anywhere within North America’s time zones. This is an hourly, part-time position that reports directly to me (Suzy Vadori, the CEO/Founder), while also working closely with other key members of my team. This individual will manage my todo list, not the other way around. It may involve working some evenings and weekends, or at times, responding to team members outside of traditional work hours (only during events that will be communicated in advance).
This is an independent contractor position, and you are responsible for your own office, equipment (computer, internet connection), and resources. This position will start with an average of 20-25 hours per month, with the opportunity to expand the role in the future as Suzy’s business grows.
Duties and Responsibilities
The Virtual Assistant will support my business and extended team. You will:
- Manage Suzy’s event schedules, including travel and logistics
- Collaborate on content creation plan for Newsletters, Social Media
- Manage posts on Suzy’s social media accounts (Facebook, Instagram, Pinterest, Threads, TikTok, Bluesky, YouTube, Substack)
- Create/edit graphics and Gifs
- Provide technical support for writers in Suzy's group programs
- Upload and schedule weekly newsletters or event promotion sequences to Kajabi (collaborating with Suzy, who will provide content)
- Provide backup to Suzy during periodic Live online events (Zoom, other), gathering questions from participants.

- Technologically/ Social Media savvy
- Knowledge of email marketing software, quiz software, Canva, Facebook Ads, 17 Hats workflow, or knowledge of other online marketing tech an asset, but not required, on the job training is available
- Can handle honest feedback and course-correct as necessary
- Gets things done, meets deadlines, and keeps promises
- Insane attention to detail
- Ability to anticipate potential issues and propose solutions
- Coachable/no ego — happy doing high-level projects as well as mundane administrative tasks (there will be a mix of both!)
- Creative problem solver
- An interest in the world of fiction and nonfiction writing, or having a curiosity/willingness to learn about it is a must.
